Initial Deliverables

To digitally sign and submit your application to the Apple Store, please provide ATIV with either
option I) the developer account AGENT login - we'll handle all submission steps, or
option II) the developer and distribution certificate, the bundle ID, as well as the ad-hoc provisioning profile.

The following information is required in order to start developing your conference app:

  • Event App Name* (12-13 characters long)
  • Event color using hex color code e.g. b3b3b3
  • Event Twitter hashtag e.g. #tk11

An Adobe Illustrator template is available that contains all graphic artboards at the correct sizes. Once you receive login access to the EventPilot CMS, the file is available for download.

In the EventPilot Standard conference app, a logo screen to brand to your organization or event slogan fades in after your launch screen. (If you have purchased the advertisement module, we recommend listing the event app sponsor there). Review Launch Sequence slides.

Enterprise Conference App

An Enterprise app is a shell app with its own graphics. Users download events into the shell which replaces some of the dynamic graphics such as the banners. The icon and launch graphic of the shell are static and do not change with individual events.

Organization Branded Enterprise Shell App Icon*

The Enterprise shell app icon is used for the actual installed event app and should reflect your organization. It does not change per event. Install the ATD Events app to see an example.

Organization Branded Home Screen Graphic Banners

Your shell app has its own home screen, which consists of graphic banners. These banners should indicate to the user that they are inside your event app and that they can download individual event programs into the app. One of the banners should contain text such as "Load Events" or similar text that works for your attendees. We will link this particular graphic to a section in the shell app which lists all active upcoming/current/past events that are linked to your shell app.

Review the section "Optional: Now View Alert Banners" below for file sizes.

Individual Event Graphics

Once an event is activated, the event branded graphics display in the conference app instead of the organization graphics.

Floor plan images are preloaded into the app that is submitted to the app store so your attendees can instantly navigate without requiring WiFi. While modern mobile devices are quite powerful computers, there are some limitations when it comes to displaying large high resolution graphics. Follow the details below to design optimized floor plan image files:

  • All text must be clearly readable at 100% for each floor plan image (This means: if you look at your image at 100% and you can still read the text if you zoom out to 50%, your image is too big in width and height)
  • Include the name of the map in the image "Hotel 1st floor"
  • All map images must be included in the initial app store submission of the app to ensure the best user experience. Avoid having to update maps: Instead of listing exhibitor names on the image, only use booth numbers
  • Do not use gradients. Ok to use small number of single colors for rooms or titles to make the image more appealing in the event app
  • Size Requirements:
    • Ideal image sizes: between 600 and max 1500 pixels width or height in .png format at 72dpi resolution.
      For very large expo maps, you can use larger sizes but you must follow these specifications:
    • if width and height are under 2,200 pixels each: .png or .jpg file format
    • if width or height is between 2,200 and 5,000 pixels: .jpg file format only (not .jpeg)
    • image cannot exceed 5,000,000 pixels (multiply width and height - 600 width x 900 height = 540,000 pixels)
    • .png file size must remain below 400kb; .jpg file size can be larger (max 1.2MB)
    • Using Adobe Illustrator: choose "Optimize Type" and save for Web and Devices. PNG files must be further compressed via http://tinypng.org
    • Save as 8 or 18 bit indexed png file to ensure smallest file size possible

The file name must be in all lower case letters without spaces or symbols. Save files as:

  • mapmapname1.png (replace mapname1 with floor name)
  • mapmapname2.png (replace mapname2 with floor name)
  • ...

Upload speaker images and exhibitor or sponsor logos via the EventPilot CMS. For best results, avoid drop shadows or borders. Images must be in .png or .jpg format and sizes cannot be larger than 25kb.

  • Speaker Photos: The event app links to the speaker photos on your server. Sizes can not be larger than 160px x 160px. For best results, images should be square as rectangular photos will be cropped to a square.
  • Exhibitor Logos: The event app links to the logos the exhibitor provide. The images are automatically scaled to 160w x 140h. We recommend exhibitors to provide their logo in this size using a white background.

Prepare all general information content that should be available offline in the app. Our team will provide you with a document template to fill in. The content is HTML formatted so that you can include links to Google maps. It's even possible to link to floorplan images within the app. Sample topics to cover:

Home Screen Banner Graphics

The Now or Home view, which contains a dashboard to link to the schedule and program, also allows you to display images or ads with an optional link to a website such as your Registration page. The images can link to individual items within the event app (please contact your project manager at ATIV to set this up). All graphics are uploaded to the EventPilot CMS. 6 banners cover the entire HOME screen on iPhone 5 and 6. Please limit ads to a maximum of 3 at a time to ensure a great user experience.

Do not use gradients so the image blends well with the cell background color. Do not use transparent backgrounds.

  • If your attendees are all iPad users, the image size should be 768w x 80h.
  • If your attendees are all phone users, the images size should be 640w x 160h. Ensure text is legible when the image is scaled to 320px width.
  • If your attendees are using both, phones and tablets, use images at 680w x 80h. Ensure text is legible when the image is scaled to 320px width.
  • To create one solid image experience, use the phone size at 640w x 160h. Ensure text is legible when the image is scaled to 320px width. The left and right edges should not contain gradients - the banners are stacked above each other and will appear as one long image in the enter of tablet screens and completely filling the iPhone screen in Portrait mode. On tablets or in landscape mode, the left and right empty space is filled with your assigned background color. Watch the video tutorial for more information.

A Splash Screen appears after the launch image and displays for about 3 seconds before displaying the home screen. The Splash Screen is a great way to display your organization's slogan and reinforce your branding. If you have purchased the Sponsorship Module, you can use the Splash Screen to display your sponsor graphic. A 6-day medical event with 26,000 native app downloads with 2.6 million app opens generated about 1.1 million splash screen views.
The graphic appears at each full app start (e.g. app was completely shut down) and with each data update. The background color for this image will automatically be based on your chosen event color. See Launch Sequence slides.

EventPilot Conference App Add-Ons

Ask your CRM about further Add-Ons such as password protection or schedule integration.

With the Media Add-On, you can integrate presentation slides and abstracts into your conference app. We will send you presentation authoring guidelines for presenters and batch convert your PPT files into a mobile optimized format. The converted content will be hosted on our server.

Please ensure you receive permission from presenters that their slides can be made public online. The authoring guidelines and the batch converter allow for marking slides 'confidential,' which hides the content for the slide.

If you require attendees to login to view the presentations, custom development is available (depending on the time available before your event).

PowerPoint file size must be smaller than 10MB.

How to Reduce File Size

1. Ensure images are compressed: See Microsoft Article
2. File > Save As > and give the file a name. Select the Tools button > Compress Pictures... and choose either the screen or email resolution. This may reduce file size by 20-50%.

On Mac, simply select File > Reduce File Size and choose Screen and ensure that the box Remove cropped picture regions is checked.

event app ad exampleWith the Advertisement Add-On, sponsors can include their ads, which appear randomly above session descriptions in the event app. Ask your sponsors to provide:

  • Landing page URL (mobile optimized landing page recommended)
  • Image file in .png format at 640w x 160h at 72dpi. Text must be readable at a 320w x 80h resolution. If most of your users have tablets, sponsors can increase the width up to 768w.
  • Image background color in web hex code e.g. 5c5cef

With the Tabs Add-On, you can display up to 5 custom screens in your conference app such as a link to your web page, Facebook, blog, registration page, etc. Please test all links on a mobile device first.

The Media Add-On enables you to include additional links to sessions and speakers in your event app. These media items could be links to session evaluation surveys, live polls, abstracts, etc.

If you develop your own web pages to link to, please ensure they are mobile optimized and include the following meta tags in your HTML page header:

App Data

EventPilot conference app content is stored in a database structure. To add the content, you can use our simple EventPilot CMS or talk to your ATIV Client Relationship Manager to set up database integration with your database team.

When we start the project, you will receive access to our CMS. If you have a database already or existing Excel spreadsheets, but don't want to use direct DB integration, please provide us with all the content you currently have or a CSV dump for us to initially populate the event app database.
